Completion Reports & Certificate Downloads

Pull a per-course or per-staff completion roster and download certificates in bulk.

Where to find it

In the sidebar under Compliance & Reports, open Completion Reports. This page is admin-only and shows every completed in-platform training in your organization — every certificate, every course, every staff member.

The compliance dashboard tells you who is and isn't compliant overall. Completion Reports tells you what specifically has been completed — useful when an auditor asks "show me everyone who finished HCBS Settings Rule" or "show me everything Beth has done this year."

Filtering the report

Four filters narrow the table:

  • Course — dropdown of every published course in your org. Choose one or leave it on All courses.
  • Status — Valid (more than 30 days until expiration), Expiring within 30 days, Expired, or No expiration.
  • Completed from / to — date range on the completion date.
  • Staff filter — click to expand, then check the staff members you want to include. Leave empty to include everyone.

The table updates instantly. Above the table you'll always see "N of M records" so you know exactly how much your current filter is hiding.

Click Clear filters to reset.

Exporting a spreadsheet

Click Export Spreadsheet (XLSX) and the file downloads to your browser's downloads folder. The file is named after the course you have selected (or all-courses if you have not filtered to one) and includes:

  • Title row with your organization name and the course label
  • Generation date and record count
  • One row per certificate with: Staff Name, Course, Completion Date, Score, Passing Score, Expires, Status, Verification Code

Open it in Excel or Google Sheets and sort or filter however you like. The verification code column is the same code printed on the certificate, so any auditor can look any row up independently.

Printing the roster as a PDF

Click Open Branded Roster in the toolbar. A new tab opens showing the same filtered rows in a print-friendly layout with your organization's logo, a violet header, the course label, generation date, and record count. The browser's print dialog auto-fires.

Choose Save as PDF as the destination and you have a one-page roster you can drop into an inspection binder, email to a licensor, or save into the staff member's HR file.

Downloading one certificate at a time

Every row in the table has a View link in the rightmost column. Click it to open the individual certificate viewer in a new tab, then use the Print Certificate button on that page (or your browser's Save as PDF) to download the single cert.

Downloading certificates in bulk

When you need many certificates merged into a single PDF — for example, every cert one staff member has earned this year, or every cert any staff member has earned for one course — use the Bulk certificate PDFs section at the bottom of the filter card.

Three buttons appear there:

  • Email me PDF (current filter) — every certificate matching whatever filters are currently active. Available whenever the filtered list is non-empty.
  • Email me PDF (selected course, all staff) — requires a course selected in the dropdown. Pulls every staff member's certificate for that one course.
  • Email me PDF (selected staff member, all courses) — requires exactly one person checked in the Staff filter. Pulls every certificate that person has earned, across every course.

Click the button you need. You'll see "Bundle queued — we will email you the download link." and you can close the tab. The job runs in the background and typically finishes within 1–5 minutes.

When it's done, you'll get an email titled "Your certificate bundle is ready" with a violet Download bundle (PDF) button. Click it and the merged PDF downloads — one certificate per page, in the same design staff see in-app.

The email link is signed and expires after 7 days. After that, you can still re-download the bundle from inside the app — see Bundle history below.

Bundle history

Click View bundle jobs → in the Bulk certificate PDFs section (or browse directly to Manage → Completion Reports → Bundle Jobs). You'll see every bundle anyone in your organization has requested, with status, certificate count, who requested it, and a Download link for completed bundles.

Re-downloads work as long as the original PDF still exists in storage. If a bundle's status reads failed, the error message appears under the status badge so you can decide whether to retry.

Common situations

An auditor wants every HCBS Settings Rule completion — set the course filter to HCBS Settings Rule, then either click Export Spreadsheet (XLSX) for an Excel file or Email me PDF (selected course, all staff) for the full bundle of every staff certificate.

HR needs every cert a new manager has earned, for their file — expand the Staff filter, check just that one person, then click Email me PDF (selected staff member, all courses).

You want a quick roster of staff whose certs expire in the next 30 days — set Status to Expiring within 30 days and either export the spreadsheet or open the branded roster. Send it to the affected staff with re-enrollment instructions.

You forgot to keep the email — go to Bundle Jobs, find the row, click Download.
