AI Document Categorization

When you upload a JPEG, PNG, or PDF document, TrainingHub can automatically analyze it using AI to extract key information.

What AI Extracts

The AI examines your document and attempts to identify:

• Category — The type of document (e.g., CPR card, training certificate)
• Title — The document's subject or title
• Issuing Organization — Who issued the document (e.g., American Red Cross)
• Completion Date — When the training was completed or document was issued
• Expiration Date — When the document expires
• Confidence Score — How confident the AI is in its categorization

How It Works

1. After your file uploads, AI analysis begins automatically
2. The AI reads the document content (text and visual elements)
3. Results pre-fill the form fields with a confidence indicator
4. You review and adjust any fields before saving

Important Notes

• AI suggestions are always editable — you have final control
• DOCX files are not analyzed by AI (fill in details manually)
• If AI analysis is unavailable or fails, the form simply remains empty for manual entry
• The confidence score helps you gauge how reliable the suggestions are
• AI analysis requires an API key to be configured by the system administrator

Privacy

Documents are analyzed securely and are not stored by the AI service. Only the document content is sent for analysis, and the results are returned immediately.
