Uploading Documents

How to upload training certificates, CPR cards, and other compliance documents.

Uploading Documents

Staff members can upload documents from the Training > Documents tab. Administrators can also upload documents on behalf of staff from Training > Manage Documents.

Supported File Types

  • JPEG/PNG — Photos of certificates and cards
  • PDF — Scanned documents and digital certificates
  • DOCX — Word documents

Maximum file size is 10MB per document.

Upload Steps

  1. Navigate to Training > Documents
  2. Click Upload Document
  3. Select a file from your computer
  4. The system will upload and optionally analyze the document
  5. Review the pre-filled category, title, and dates
  6. Adjust any fields as needed
  7. Optionally check Link to Compliance Record to auto-create a compliance entry
  8. Click Save Document

Document Categories

Documents are organized into DBHDS-relevant categories:

Compliance Linking

When you check Link to Compliance Record and provide a completion date, the system will:

  1. Search for a matching compliance requirement in your organization
  2. If found, update the existing compliance record
  3. If not found, create a new compliance requirement and record
  4. Mark the staff member as Compliant with the appropriate expiration date

This is especially useful for documents obtained before using TrainingHub, such as prior CPR certifications or training certificates from other providers.
